QuickBooks vs. FreshBooks: which fits your operating workflow?

QuickBooks Online begins with the accounting record and expands into bills, inventory, projects, payroll, payments, reporting, and controls. FreshBooks begins with the client relationship—proposals, time, projects, invoices, retainers, and collections—then connects those workflows to double-entry accounting. The better choice depends on who does the work and what must be controlled at month-end.

The short answer

Choose FreshBooks for a client-service workflow; choose QuickBooks for a broader accounting operating system.

Evaluate FreshBooks first when a founder, freelancer, agency, consultant, legal practice, trade, or other service business needs time and expenses to become polished proposals, retainers, recurring invoices, deposits, reminders, and payments with minimal administrative friction.

Evaluate QuickBooks Online first when the business needs deeper bill workflows, inventory, class and location reporting, a larger finance-user model, custom permissions, workflow automation, Excel-connected reporting, or a path into the wider Intuit accounting, payroll, time, payments, and tax ecosystem.

Do not choose from the invoice screen alone. Run the same quote-to-cash workflow and the same month-end close in both products. The winner should reduce owner administration without weakening bank reconciliation, financial statements, tax support, audit history, or accountant access.

1. Compare regular prices and the actual user model

QuickBooks Online currently lists regular monthly prices of $38 for Simple Start, $85 for Essentials, $140 for Plus, and $340 for Advanced. The current introductory offer is 50% off for three months, but a multi-year decision should use the renewal price. User capacity is one, three, five, and 25 respectively, with two accountant seats on the first three plans and three on Advanced.

FreshBooks currently lists regular monthly prices of $23 for Lite, $43 for Plus, and $70 for Premium, while Select requires a quote. Its current promotion makes Lite $1 per month for a year and discounts Plus and Premium by 80% for three months. Additional team members cost $11 per person monthly, and FreshBooks Payroll is listed at $40 per month plus $6 per user.

A three-person service business would therefore compare QuickBooks Essentials at $85 per month with FreshBooks Plus at $65 per month if the owner account plus two additional team members satisfies the workflow. If the same business needs FreshBooks Premium for unlimited clients, accounts payable, or project profitability, the comparable subscription becomes $92 per month. This is illustrative—not a quote—and excludes payments, payroll, add-ons, promotions, taxes, and implementation.

Model the plan you will renew, not the price used to acquire you. Include who needs access and what they must do.

2. The client limit can determine the FreshBooks plan before features do

FreshBooks Lite permits invoicing up to five clients, Plus up to 50, and Premium and Select unlimited clients. Count every active client expected during the plan period, not just the clients billed this month. A low-volume consultancy with many retained client records can outgrow Plus even when invoice volume is modest.

QuickBooks does not frame its current plan ladder around billable-client counts. Its constraints shift instead toward users and operating depth: Essentials supports three users and enhanced reports; Plus supports five users, projects, budgets, inventory, and classes and locations; Advanced supports 25 users and adds stronger permissions, workflows, dashboards, batch processing, and Excel synchronization.

Build a 24-month forecast of clients, users, contractors, accountants, invoices, projects, bills, and locations. The right comparison may be FreshBooks Premium versus QuickBooks Plus—not the two entry plans advertised most prominently.

3. Test the full proposal-to-cash cycle

FreshBooks' published workflow includes estimates, proposals, e-signatures on Plus and above, retainers, recurring invoices, deposits, scheduled late fees, automated reminders, client portals, payment links, card and digital-wallet payments, and ACH. Time and expenses can flow into invoices, which is valuable when the billable work itself is the source record.

QuickBooks also supports invoices, payment status, reminders, card and bank-transfer acceptance, time on invoices, projects, and customer reporting. Its advantage may appear downstream when the same transaction must drive a broader ledger, bill payment, payroll, inventory, sales tax, class or location reporting, and management reporting.

Cycle 01

Win the work

Create an estimate or proposal, capture acceptance, request a deposit, and preserve the commercial terms.

Cycle 02

Deliver the work

Record time, expenses, retainers, changes, subcontractors, and project progress without duplicate entry.

Cycle 03

Collect and close

Invoice, accept payment, handle fees and refunds, reconcile the deposit, and prove revenue and receivables.

4. Time tracking and project profitability are related—but not identical

FreshBooks lists unlimited time tracking on every plan. Team members can track time against projects, and billable time can flow into invoices. Premium and Select add project-profitability views that compare project income and costs; lower plans should not be assumed to provide the same margin analysis merely because they track hours.

QuickBooks Essentials can add employee time to invoices, while Plus and Advanced add project-profitability capabilities. Intuit's current project documentation describes income, expense, cost, profit-margin, unbilled-time, and estimate-versus-actual workflows, with some advanced capabilities tied to higher plans or separate workforce products.

Pilot fixed-fee, hourly, retainer, and reimbursable-expense projects. Confirm whether labor cost uses actual payroll, a configured cost rate, or no cost at all. Revenue minus expenses is not a meaningful project margin if labor is missing or priced at the billing rate.

5. Accounting depth begins with the correct plan—not the product name

FreshBooks describes double-entry accounting, a customizable chart of accounts, Profit and Loss, Balance Sheet, Trial Balance, journal entries, bank reconciliation, accountant collaboration, and more than 100 integrations. Its plan table matters: double-entry reports, bank reconciliation, and accountant access are listed on Plus, Premium, and Select—not Lite. Accounts payable is listed on Premium and Select.

QuickBooks Simple Start already positions itself around profit and loss, automated bookkeeping, invoicing, bill pay, and tax deductions. Essentials adds more users and enhanced reporting. Plus adds budgets, project profitability, inventory, and class and location tracking. Advanced expands permissions, workflows, batch transactions, dashboards, Excel sync, and support.

Ask the tax preparer or bookkeeper to close a sample month in both systems. Reconcile the bank and payment processor, post payroll and loan entries, age receivables and payables, review retained earnings, and export the detailed general ledger. If required evidence lives outside the system, record that as operating cost and control risk.

6. Know when the business has outgrown both configurations

FreshBooks is explicitly aimed at freelancers, solopreneurs, and small service businesses, while QuickBooks Online's current ladder reaches 25 users and deeper operational controls. Neither product name proves fit for multi-entity consolidation, intercompany accounting, complex revenue recognition, deep inventory, manufacturing, global statutory books, or enterprise segregation of duties.

Move the evaluation upstream when recurring manual journals, spreadsheet consolidations, duplicate client and project data, uncontrolled approvals, missing subledgers, or slow reporting have become material. Switching from one small-business ledger to another may improve usability without solving the architecture problem.

Migration triggerRecurring close labor + control exposure + reporting delay + integration failures > implementation and switching cost

Choose the next system for the operating model you are building, not for a feature checklist that already became obsolete.

Controlled evaluation

Run this eight-part parallel-close pilot

  1. Map the operating model. Count legal entities, bank accounts, users, accountants, clients, projects, invoices, bills, contractors, products, payroll, and reporting needs.
  2. Normalize pricing. Use renewal prices and include users, client tiers, payments, payroll, time products, add-ons, apps, support, migration, and bookkeeping.
  3. Run quote to cash. Test proposal, acceptance, deposit, time, expenses, retainer, invoice, reminder, payment, refund, and credit.
  4. Run procure to pay. Enter a bill, attach evidence, code it, approve it, pay it, reconcile it, and review the vendor balance.
  5. Challenge project economics. Test hourly and fixed-fee work, employees and contractors, write-offs, unbilled time, labor cost, and margin.
  6. Exercise controls. Change roles, edit closed activity, approve bills, post journals, manage bank access, and inspect the audit trail.
  7. Close a month. Reconcile cash and payments, age AR and AP, post payroll, review statements, and export tax and management reports.
  8. Plan migration and exit. Validate opening balances, unpaid items, documents, historical detail, recurring billing, payment credentials, cutover, and exports.

Recommendation by operating profile

Evaluate FreshBooks first

Owner-led service business

Clients, proposals, time, projects, retainers, invoices, payment reminders, and a straightforward accountant workflow matter more than inventory or a large finance team.

Evaluate QuickBooks first

Accounting-led small business

Bills, reporting, inventory, payroll ecosystem, multiple finance users, classes, locations, permissions, workflows, or a broader US accountant network drive the choice.

Evaluate beyond both

Complex entity or control model

Multi-entity consolidation, intercompany activity, complex revenue, deep inventory, global books, or strict segregation already exceed a simple ledger decision.

Neutral next step

Frequently asked questions

Is QuickBooks or FreshBooks better for a small business?

FreshBooks is usually the stronger first evaluation for a freelancer or service business whose daily workflow centers on clients, proposals, time, projects, retainers, invoices, and getting paid. QuickBooks Online is usually the stronger first evaluation when the accounting record, bills, inventory, reporting, permissions, payroll ecosystem, or future finance-team requirements are more important.

How much does FreshBooks cost?

FreshBooks currently lists regular US monthly prices of $23 for Lite, $43 for Plus, and $70 for Premium; Select is custom-priced. Temporary promotions are substantially lower. Additional team members cost $11 per person per month. Lite supports five billable clients, Plus supports 50, and Premium and Select support unlimited clients.

How much does QuickBooks Online cost?

QuickBooks Online currently lists regular US monthly prices of $38 for Simple Start, $85 for Essentials, $140 for Plus, and $340 for Advanced. The plans include one, three, five, and 25 users respectively, plus separate accountant access. Temporary introductory prices may be lower.

Can FreshBooks replace QuickBooks?

It can for some service businesses, but the decision should be proven with a parallel close. Test bank reconciliation, bills, journals, accountant access, financial statements, sales tax, projects, payroll entries, 1099 workflows, integrations, and historical exports before switching. A strong invoicing experience does not by itself prove that the accounting and tax record is complete.
