QuickBooks Online vs. Xero: which fits a growing company?
Both systems can run the books for a small or growing company. The real decision is whether your next constraint is US operating depth, user and reporting controls, international workflows, or the point where neither product should remain the financial core.
Choose from the operating workflow—not from familiarity or the introductory discount.
Evaluate QuickBooks Online first when the company is US-centered, expects to use Intuit payroll, payments, time, or tax products, needs inventory and purchase orders in the Plus tier, or wants Advanced's 25-user capacity, custom permissions, workflow automation, classes, locations, Excel sync, and management reporting.
Evaluate Xero first when the company wants a lower regular base subscription, strong bank and bill workflows, multicurrency and projects in the Established tier, and a broad app marketplace. Xero's Early plan is inexpensive but its 20-invoice and five-bill limits make it a poor benchmark for most operating companies.
If you already require entity consolidation, intercompany accounting, complex revenue recognition, deep inventory, or close controls, compare the cost of stretching either product against moving to a stronger accounting system. The cheapest subscription can become the most expensive close.
QuickBooks Online vs. Xero at a glance
| Decision point | QuickBooks Online | Xero |
|---|---|---|
| Best first fit | US-centered companies wanting a broad Intuit operating ecosystem and clear progression into more users and controls. | Small and growing companies prioritizing cloud accounting, reconciliation, app connections, and lower base subscription prices. |
| Regular monthly prices | Simple Start $38; Essentials $85; Plus $140; Advanced $340. | Early $25; Growing $55; Established $90. |
| Users and accountants | One, three, five, or 25 users by plan, plus two accountant seats on the first three plans and three on Advanced. | Current public pricing emphasizes organization features rather than per-user tiers; validate permissions and required roles during the trial. |
| Inventory | Native inventory and purchase orders are available in Plus and Advanced. | Core inventory capabilities are available; Inventory Plus is an optional add-on to Growing and Established. |
| Multicurrency and projects | Confirm the exact plan and workflow during evaluation; Advanced emphasizes forecasting, projects, workflows, and reporting. | Established includes multiple currencies, project time and cost tracking, and employee expense and mileage claims. |
| Scale warning | Advanced expands reporting and control, but complex multi-entity needs may point toward Intuit Enterprise Suite or another ERP. | Established expands analytics and international capability, but consolidation and intercompany complexity require a separate architecture test. |
1. Compare the regular price—not the launch promotion
QuickBooks Online currently displays a 50% promotion for three months, but the regular monthly prices are $38 for Simple Start, $85 for Essentials, $140 for Plus, and $340 for Advanced. User capacity rises from one to three, five, and 25. Accountant access is separate: two accountant seats on Simple Start through Plus and three on Advanced.
Xero currently displays a 90% promotion for six months for eligible new US customers through September 30, 2026. Its regular monthly prices are $25 for Early, $55 for Growing, and $90 for Established. Early permits 20 invoices and five bills, while Growing removes those listed limits and adds more automation and reporting. Established adds multicurrency, project tracking, expenses, mileage, and international bill payments.
Use regular renewal prices after the promotional period. Include every organization, required role, integration, payment fee, payroll seat, inventory add-on, reporting tool, and accountant workflow.
2. User limits matter only after permission design
QuickBooks ties standard-user capacity directly to plan level. Plus supports five users; Advanced supports 25 and adds custom user permissions, automated workflows, batch transactions, unlimited classes and locations, backup and restore, and Priority Circle support.
Do not convert that into a simple headcount comparison. List who must create invoices, enter bills, approve payments, post journals, manage inventory, run payroll, view department reporting, administer integrations, and close the books. Then test whether each role can see and change only what it should.
Include a departed employee, temporary approver, outside accountant, department manager, sales user, and system administrator. A nominal user advantage is irrelevant if the control model still requires shared logins or spreadsheet approvals.
3. Inventory and project accounting need transaction tests
QuickBooks Online Plus and Advanced include inventory tracking. Intuit says quantities update as transactions occur, low-stock alerts identify reorder needs, purchase orders can convert into bills, and inventory reports show items, sales, and tax information. Plus also includes project profitability and budgets.
Xero Established includes project time and cost tracking, while Inventory Plus is optional on Growing and Established. Published plan labels do not establish whether either product can support landed cost, assemblies, serialized items, multiple warehouses, production, subscription revenue, or detailed job costing.
Load a representative purchase order, partial receipt, vendor bill, inventory adjustment, customer order, return, credit, project expense, labor entry, and month-end accrual. Inspect gross margin, quantity, cost, project profitability, and the general-ledger result. If the workflow depends on repeated manual adjustments, price a specialist app or stronger system now.
4. International operations are more than multicurrency
Xero Established explicitly includes multiple currencies and international bill payments. QuickBooks offers multiple plan and product paths, so the evaluation should verify the exact subscription, home currency, supported transaction types, exchange-rate behavior, revaluation, and reporting required for the company.
Neither a multicurrency checkbox nor an international payment button proves that the close works. Test foreign-currency bank accounts, customer invoices, vendor bills, partial payments, refunds, fees, realized and unrealized gains, month-end revaluation, and reporting currency. If subsidiaries keep separate books, add consolidation and intercompany eliminations to the test.
Transaction currency
Invoice, collect, bill, pay, refund, and reconcile in the currencies actually used.
Entity structure
Map legal entities, subscriptions, charts, dimensions, intercompany entries, ownership, and consolidation.
Close result
Validate FX gains, revaluation, fees, clearing accounts, reporting currency, and audit evidence.
5. The ecosystem choice can outweigh the ledger
QuickBooks positions accounting inside a broader Intuit platform spanning payments, payroll, time, project management, inventory, tax, workforce tools, and lending. Its pricing page also highlights third-party app integrations. This can reduce interfaces for a US company already committed to Intuit products, but it can also make switching costs larger.
Xero emphasizes its cloud-accounting core and app ecosystem. Its product materials advertise connections to more than 1,000 apps, and US payroll is offered as an optional Gusto-powered add-on. That can suit a company that prefers a composable stack, provided finance owns the data flow and exception handling.
Build a source-of-truth map before choosing: customer, item, invoice, payment, employee, time entry, vendor, bill, approval, bank transaction, dimension, and financial report. The winning ecosystem is the one that creates fewer duplicate records and fewer unexplained reconciliation differences.
6. Know the signals that neither product is enough
QuickBooks Advanced reaches 25 users and adds stronger workflows, reporting, permissions, forecasting, classes, and locations. Intuit now positions Enterprise Suite as the step toward multi-entity ERP requirements. Xero Established adds international and analytical features without changing the underlying need to design consolidation and controls.
Start an ERP or stronger accounting-platform evaluation when monthly close depends on manual consolidation, intercompany balances do not reconcile, revenue schedules live outside the ledger, inventory needs operational subledgers, reporting dimensions multiply, permissions become hard to segregate, or material audit support is assembled by hand.
Do not migrate because the company reached an arbitrary employee count. Migrate when the operating model has outgrown the accounting design.
Run this eight-part parallel-close pilot
- Define the operating model. List entities, currencies, bank accounts, users, transaction volume, inventory, projects, payroll, payments, and required reports.
- Price the real configuration. Use regular subscription prices plus organizations, add-ons, users, apps, payroll, payments, support, migration, and bookkeeping.
- Load representative history. Import customers, vendors, items, opening balances, unpaid invoices, bills, bank transactions, classes, and tracking dimensions.
- Run daily workflows. Invoice, collect, purchase, receive, bill, pay, reimburse, adjust inventory, record payroll, and reconcile cash.
- Exercise controls. Test role changes, journal approval, bill approval, payment release, bank edits, closed periods, and audit history.
- Close the month. Complete reconciliations, accruals, prepaid and fixed-asset entries, FX, inventory, projects, and management reporting.
- Inspect exceptions. Record every spreadsheet, duplicate entry, failed sync, manual journal, permission workaround, and support request.
- Plan the exit. Confirm data export, document retention, cutover steps, rollback, tax support, and the threshold for moving to an ERP.
Recommendation by operating profile
US-centered operating stack
You value Intuit payroll, payments, time or tax tools, need inventory in Plus, or need Advanced's user capacity, permissions, workflows, reporting, and Excel connection.
Lean, app-connected finance stack
You prioritize lower regular base pricing, reconciliation, app connections, and Established's multicurrency, projects, expenses, and international bill-pay features.
Multi-entity or control-heavy company
You require consolidation, intercompany accounting, complex revenue, deep inventory, granular segregation, or a close that no longer fits a small-business ledger.
Compare the wider accounting stack.
Use the rules-based matcher or browse the directory if QuickBooks and Xero are not the only reasonable candidates. Vendors cannot pay for a higher position.
Frequently asked questions
Is QuickBooks Online or Xero better for a growing company?
QuickBooks Online is usually the stronger first evaluation for a US company that values the Intuit ecosystem, tiered user permissions, native inventory in Plus, payroll options, and a broad US accountant base. Xero is usually the stronger first evaluation when lower base subscription pricing, bank reconciliation, flexible app connections, and multicurrency at the Established tier are more important. Test both with the same close and reporting scenarios.
How much does QuickBooks Online cost?
QuickBooks Online currently lists regular monthly prices of $38 for Simple Start, $85 for Essentials, $140 for Plus, and $340 for Advanced. Promotional prices may be lower for a limited period. The plans include one, three, five, and 25 users respectively, plus separate accountant access.
How much does Xero cost in the United States?
Xero currently lists regular monthly US prices of $25 for Early, $55 for Growing, and $90 for Established. Temporary promotional prices may be much lower. Early is limited to 20 invoices and five bills; Growing removes those listed transaction limits, while Established adds multicurrency, projects, employee expense and mileage claims, and international bill payments.
Should a multi-entity company choose QuickBooks or Xero?
Do not decide from the single-entity product demo. Price every required organization, consolidation workflow, intercompany transaction, currency, approval, and reporting step. If the process depends on spreadsheet eliminations or repeated exports, compare a multi-entity accounting platform or ERP before investing further in either setup.
